A stand builder executes their own scope — design, fabrication, and installation. A project manager coordinates all scopes — including vendors the stand builder does not supply — and is accountable for the complete outcome, not just one workstream. At Booth Xperts, our project managers oversee our own fabrication and installation teams plus any external vendors the client uses — creating a single accountability layer across the entire project.
For shows at DWTC and ADNEC, we recommend engaging a project manager at least 10–12 weeks before the show date for custom stands and 14–16 weeks for double decker or pavilion builds. Earlier engagement means more time for design approvals, fabrication scheduling, and freight planning — all of which have fixed lead times that cannot be compressed beyond certain limits.
Yes. We provide standalone project management for exhibitors who have their own stand design or are importing a stand from an international supplier. In this scope, we manage venue approvals, local fabrication of any required elements, freight coordination, on-site installation supervision, and dismantling — acting as the client's Dubai-based project partner.
Every client receives a live project dashboard, weekly written status reports, and a dedicated WhatsApp channel with the project manager and key team leads. During build week, we provide morning and evening progress updates with photographs until the stand is handed over.
Changes during installation are a normal part of exhibition delivery — not an exception. Our project managers carry contingency budgets, maintain relationships with local suppliers for urgent material procurement, and are empowered to make on-site decisions within pre-agreed parameters without waiting for client approval chains. We escalate only when a change exceeds the agreed contingency scope.
Yes. We have managed exhibition projects across Saudi Arabia (Riyadh and Jeddah), Qatar (Doha), and Kuwait — coordinating local approved contractors in each market while maintaining UAE-based project management and client communication. Each GCC market has its own venue regulations and contractor requirements, which our team navigates as part of the project scope.
